Brief

During initial consultations with the Box Hill School’s Event Representative, Hayley, discussions were had as to the importance in ensuring the theming for this event was to be very high impact.

This year was especially important for Victor, who had been studying at the school for some time, and was leaving at the end of the term. Since being in the UK, he has developed his skills in the art of DJing, and it was for him to take control, musically, for the duration of this event. Various themes and concepts were discussed, and it was decided that the theme of the evening would be ‘festival’.

Requirements

“Sound, lighting and special effects are key elements to the success of this event” explained Hayley.

Our client insisted on the following:
·        High energy sound system
·        Festival style lighting design
·        Sleek and cutting-edge DJ enclosure
·        A stage system to ensure the prominence of the DJ
·        Special Effects to enhance impactful moments
·        A “festival” themed photobooth enclosure that coincided with the theming of the venue/event
·        An external breakaway area for the students

The Event

We were privileged to have the opportunity to provide full technical production for the 2019 Box Hill School Prom.

Kit List

Lighting

Total lighting design was done in-house at Surrey Event Services, to coincide with the requirements of the brief. We installed a full truss suspension framework, on which we mounted the following; 6 high powered moving head fixtures and 11festival Sunstrip™ blinders.

We also utilised 30 x Core Point™ battery operated fixtures and bars, to add visual depth to the venue.

A control booth was set up from the far end of the venue, where lighting and special effects were fully controlled by our designated lighting design team, utilising a full Avolites Quartz™ lighting control system.

Sound

Sound design was a key element for this event and was spec’d again in accordance with the brief. We provided our RCF™ touring grade audio system for the application, along with a full Pioneer-Pro™ club grade DJ playout system for the DJ.

Special FX

To add “theatre and drama” was the client’s stipulation when it came to specialFX. The suggestion of an indoor vertical firework system amazed the client and we utilised this effect alongside our Magix FX™ stage shots. We were certain that the audience were to endure “theatre and drama” at peak moments throughout the event as requested by our client.

Photo Products

In keeping with the festival theme, our client’s request was for a vintage looking photo product. Our client also insisted on a closed booth, instead of an open booth and we provided our vintage photo booth enclosure for the application. This was supplied with a multitude of themed props and an operator for the evening.

DJ Booth / Stage

The focal point of the evening would be the DJ; therefore, a standard DJ booth would not have suited. This led to us suggesting our custom black open DJ frontage to create the festival-feel as requested in the brief. We also supplied a raised professional stage system.

The ‘Break Away’ Area

The client’s request for an external break out area meant that students could take time out when required throughout the evening. We supplied an inflatable dome enclosure and installed lighting and hay bales, again, to coincide with the ‘festival’ theme for this event.
